2. Scope
This privacy policy informs you about the nature, scope and purpose of the processing of personal data by Alpha Informatik. It applies to our website alphainformatik.ch and all related business relationships.
3. Legal bases for processing
As a company based in Switzerland, we are governed primarily by the Swiss Data Protection Act (revised FADP, in force since 1 September 2023). Where we offer services to individuals in the EU or EEA, or monitor their behaviour, the EU General Data Protection Regulation (GDPR) applies in addition.
Contract and pre-contractual measures: to initiate and perform contracts (Art. 31(2)(a) FADP; Art. 6(1)(b) GDPR).
Legitimate interest: responding to enquiries, operating and securing the website, and improving our systems in anonymised form (Art. 31(1) FADP; Art. 6(1)(f) GDPR).
Consent: where you give it to us, e.g. for optional information (Art. 6(1)(a) GDPR).
4. Data processing on our website
4.1 Contact form
Through our contact form we process the following data:
- Name
- Email address
- Type of interest
- Budget range (optional)
- Message
Purpose: handling your enquiry and getting in touch.
Spam protection: To prevent automated bulk submissions, we store a checksum of your IP address together with the time of submission. Your IP address cannot be reconstructed from it. We use this value solely to limit the number of submissions per connection and delete it after 24 hours. The content of your enquiry is not stored; it is transmitted to us by email only.
Legal basis: legitimate interest or pre-contractual measures (Art. 31 FADP; Art. 6(1)(b) and (f) GDPR).
Retention: deletion 30 days after the enquiry is closed, provided no contract is concluded and no statutory retention obligations apply.
4.2 Server log files
When the website is accessed, our hosting provider automatically records technical access data in server logs (e.g. truncated IP address, date and time, page requested, browser type). This data is required for secure and stable operation and is not combined with other data.
5. Cookies and analytics
We use only technically necessary cookies — in particular a secure session cookie (HttpOnly) when you sign in to our customer area. It is required for login and stores no advertising or tracking data.
To store your language preference we use local storage (localStorage) in your browser. This information stays on your device and is not transmitted to us.
We use no tracking, no advertising cookies and no third-party analytics services (e.g. Google Analytics).
6. Hosting and processors
Our website and application are operated by infrastructure providers acting as processors on our behalf (hosting, database, file storage). Data processing agreements are in place with them; processing takes place in Switzerland and/or the EU.
For classifying and analysing uploaded documents we use the AI service of Anthropic (Claude). Content is processed solely to provide this function and is not used to train the models.
Third countries: where data is transferred to a country without an adequate level of protection, we rely on appropriate safeguards (e.g. standard contractual clauses).
7. AI transparency and automated decisions
Our platform uses artificial intelligence (Anthropic Claude) to classify uploaded documents and extract information from them. We hereby transparently inform you of this use (Art. 50 of EU Regulation 2024/1689, the “AI Act”, applicable from 2 August 2026).
AI results are not automatically treated as binding. Every result undergoes human review (human-in-the-loop) before business-relevant decisions are made.
No decision based solely on automated processing that produces legal effects concerning you or similarly significantly affects you takes place (Art. 22 GDPR; Art. 21 FADP). Particularly sensitive areas such as medicine or insurance are never decided without human approval.
Data generated by the AI, as well as sample data loaded for demonstration purposes, is marked accordingly in our system and is not presented as reviewed professional results.
8. Data security
We take technical and organisational measures to protect your data:
- encryption in transit and at rest
- regular security updates
- access controls and permission management
- secure deletion procedures
9. Your rights
Within the limits of applicable law, you have the following rights regarding your personal data:
- Access: information about the data we process
- Rectification: correction of inaccurate data
- Erasure: deletion of your data where no retention obligation applies
- Restriction and objection: against certain processing
- Data portability: release in a common format
To exercise these rights, a message to info@alphainformatik.ch is sufficient. You also have the right to lodge a complaint with the competent supervisory authority — in Switzerland the Federal Data Protection and Information Commissioner (FDPIC).
